1. Who We Are

This privacy policy is written by Ajay Hunter, an independent digital artist and developer operating the Dei Discord bot and the Ajay Hunter portfolio/commission website. You can contact me at any time using the contact form on this site.

2. What Data the Bot Collects

The Dei bot collects and stores the following information when added to a Discord server:

Automatically collected

• Discord User IDs - used to track warnings, birthdays, reaction roles, and leveling data. We store the ID number only, not your username or tag.
• Usernames - stored alongside warnings and other records for readability in the mod log. Not shared externally.
• Message content - messages are checked in real time against moderation filters and crisis keywords. Message content is not stored unless it triggers a logged moderation action.
• Server (Guild) IDs and names - used to associate all bot data with the correct server.

Voluntarily provided

• Birthday (month and day only) - stored if a user runs the /birthday command. No year is collected.
• Responses to Dei - messages sent in active or vent channels are processed to generate a response. They are not permanently stored.

What we do NOT collect

• Full message history or logs of conversations
• Voice activity or audio
• Direct messages sent to other users
• Payment information of any kind
• Email addresses or personal identifiers outside of Discord

3. What Data the Website Collects

Contact / inquiry form

When you submit an inquiry through this site, we collect your name, email address, and the details of your project request. This information is used solely to respond to your inquiry and manage your commission.

Client portal accounts

If you create an account on this site, we store your name, email address, and a securely hashed version of your password. We never store your password in plain text. Account data is used to give you access to your project information, messages, and files.

Dashboard login (Discord OAuth)

If you log in as a server admin via Discord, we temporarily store your Discord user ID, username, and an access token to verify your server permissions. This token expires and is not shared with any third parties.

4. How We Use Your Data

• To operate bot features (moderation, leveling, birthdays, reaction roles)
• To respond to commission inquiries and manage active projects
• To provide server administrators access to their bot dashboard
• To detect and respond to crisis situations in vent channels
• To detect compromised accounts sending scam messages

We do not sell, share, or trade your data with any third parties for marketing or commercial purposes.

5. Data Storage and Security

Bot and website data is stored in a Cloudflare D1 database hosted within Cloudflare's infrastructure. Cloudflare's data centres are located in the European Union and United States. All data is transmitted over HTTPS. Passwords are hashed using PBKDF2-SHA256 with 100,000 iterations - they cannot be reversed.

While we take reasonable precautions to protect your data, no system is completely secure. We cannot guarantee absolute security.

6. Data Retention

• Warnings - retained until manually cleared by a server moderator
• Birthdays - retained until a user requests removal
• Mod logs - retained for server record-keeping; server owners may delete them at any time via the dashboard
• Inquiry and client data - retained for the duration of the working relationship, then archived for a maximum of 2 years
• Session tokens - expire after 30 days automatically

7. Your Rights

You have the right to:

• Request a copy of the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent at any time by removing the bot from your server or deleting your account

8. Third-Party Services

We use the following third-party services which may process data as part of normal operation:

• Discord - the platform the bot operates on. Subject to Discord's own Privacy Policy.
• Cloudflare - hosting, DNS, and database services. Subject to Cloudflare's Privacy Policy.
• DigitalOcean - server infrastructure for the bot. Subject to DigitalOcean's Privacy Policy.

Social media integrations (Twitch, YouTube, Twitter, Instagram, TikTok) are used only to fetch public content for notification purposes. No personal data is shared with these platforms through this bot.

9. Children's Privacy

This service is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children. If you believe a child has submitted data to us, please contact us immediately and we will delete it.

10. Changes to This Policy

We may update this privacy policy from time to time. The date at the top of this page will always reflect the most recent revision. Continued use of the bot or website after changes constitutes acceptance of the updated policy.
